One platform, 103 facilities: replacing late fees and blind spots with full portfolio visibility

A specialty industrial services provider with about $900 million in revenue, more than 5,000 employees and 103 North American facilities had three utility vendors that never shared data. After a large acquisition, more than half its locations were paying late fees every month.

Three vendors, no national view

  • An audit firm that had recovered some overpayments.
  • A procurement broker licensed in only two states.
  • A stand-alone bill-pay vendor.

What we did

We loaded every account at all 103 facilities into TaraBase, audited every account rather than just the largest, and evaluated every eligible account for competitive supply.

What we found

  • Sites that had already been audited still had recoverable overpayments.
  • Many facilities outside the broker's two states qualified for procurement savings and had never been evaluated.
  • The late fees traced back to fragmented data, not just payment processing.

Results

Additional audit recoveries, new procurement savings in more states, late fees eliminated, and one dashboard covering every dollar of utility spend.

Lessons

  • Match your providers' licensing to your facility footprint.
  • Bill pay, procurement and audit depend on one another; separate vendors leave gaps.
  • An audit is only as complete as its account list.

Questions buyers ask

Why does broker licensing matter?

Procurement advisors must be licensed state by state where licensing is required. A broker licensed in two states can only improve supply costs at sites in those two states; the rest of the portfolio is left on default service.

Were the late fees a payments problem?

Not mainly. They came from fragmented utility data: three vendors that did not share information and no single list of accounts and due dates.
